A. Non-Refundable Booking Deposit

Upon execution of a formal service contract, an initial booking deposit is paid. The booking deposit covers preliminary administration, initial layout drafting, and resource reservation. Deposit payments are non-refundable once concept work has commenced or administrative allocation has been executed.

B. Client-Initiated Contract Cancellation

If a client wishes to cancel an executed service contract prior to final event delivery, notice of cancellation must be submitted in writing via email to internal@vowandbespoke.com.

  • Cancellation Requested Prior to Milestone Drafting: If cancellation is submitted in writing prior to the presentation of initial concept drafts, any prepaid balances exceeding the non-refundable booking deposit will be refunded in full.
  • Cancellation Requested After Milestone Drafting: If cancellation occurs after initial concept frameworks or sample arrangements have been presented, fees corresponding to completed project phases and incurred work hours (as itemized in the individual service agreement) will be retained. Any remaining unearned balance will be refunded.

4. Quality Standard & Service Adjustments

All custom physical samples, visual presentation packages, and decorative components provided under our service agreements undergo thorough physical quality inspections by our internal team prior to delivery.

If a client identifies a material variance between the agreed written contract specifications and the delivered service deliverables:

  1. The client must notify vowandbespoke in writing within 7 calendar days of milestone delivery, detailing the specific variance.
  2. vowandbespoke will review the documentation and, where justified, offer a prompt concept adjustment or revision within 5 to 10 working days at no additional cost.
  3. If an agreed contractual deliverable cannot be fulfilled due to provider error, a proportional partial or full refund for the affected service component will be issued.

Where a refund is approved under the terms of this policy or an executed contract:

  • Refund Method: Approved refunds are credited exclusively to the original payment method utilized during the initial transaction.
